ACTIVITY DESCRIPTION
SPECIAL EVENTS COORDINATOR - 1 YEAR CONTRACT


REPORTS TO: Economic Development Officer
STATUS: CONTRACT - 1 YEAR
DATE: Immediate
INTERESTED PARTIES ARE ASKED TO IDENTIFY THEIR EXPECTED
REMUNERATION FOR THE OUTLINED SERVICES. IT IS ANTICIPATED THAT
REVENUES FROM GRANTS WILL COVER A SIGNIFICANT PORTION OF THE
REMUNERATION.

SCOPE:

The Special Events Coordinator will generate new special events and foster existing special
events to stimulate economic benefits to the community and to provide opportunities for local
residents and tourists to participate in.

This position is available to individuals or incorporated businesses. Applicants are advised that
this is not considered to be an employee of the Town of South Bruce Peninsula and therefore no
Town benefits will be provided.

SUMMARY OF DUTIES

· Assist existing community groups and committees in the planning, promotion and
coordination of special events within the Town of South Bruce Peninsula including but
not limited to Canada Day, Wiarton Willie Festival, Willie Golf Invitational, Winterfest,
and Sandfest.
· Provide advice and assistance with the implementation of events, fundraising, grant
applications, management of event processes, coordination of meetings, preparation,
monitoring and distribution of event budgets.
· Act as the principal conduit between community groups and individuals and Town Staff
in which all event planning communications are handled (incl. road closures,
designations, presentations, etc.) to ensure a coordinated effort throughout the Town.
· Responsible for all communications and networking in support of special events, and assist with
development of new opportunities to build community awareness, responding to enquiries from
the public about events, including assisting with media requests.
RESPONSIBILITIES

· Attend committee meetings regularly; work closely with committee Chairs and compile
general correspondence, meeting agendas & minutes and various event reports when
needed.
· Research and identify funding opportunities including but not limited to grants and
sponsorships and prepare funding applications.
· Provide volunteer coordination and recognition for special events and direction to
volunteers for special event duties.

QUALIFICATIONS


· Post-secondary degree in a related field (Event Planning, Tourism, Marketing, Public or
Community Relations,) and five years of experience in special events planning,
preferably in the not-for-profit sector.

· Proven experience in planning and implementing events in addition to expertise in grant
writing, attracting sponsorships; volunteer management and promotional planning.

· Experience in media relations and the development of media packages and releases.

· The ability to work well independently on several projects concurrently, and possess
excellent communication, organizational and creative thinking skills.
· Software proficiency in Microsoft Word, Excel, Power Point, is required.
· Demonstrated high energy level and flexibility, pleasant persona coupled with sound
judgment; flexible, discreet and able to maintain confidential information, knowledge of
correct protocol for specific situations.
· Experience and comfort with facilitation of committee meetings.

PUBLIC NOTICE OF MEETINGS

The Council of the Corporation of the Town of South Bruce Peninsula have set the
following dates to continue 2009 Budget Deliberations:

March 2, 2009
Meeting Agenda
9:00 a.m. ­ 4:30 p.m.

1. Manager of Financial Services to review new accounting guidelines relative to PSAB
3150 Tangible Capital Assets with Council (All Department Heads, Chief Building
Official, Economic Development Officer and Recreation Programmer to attend for this
item only)

2. Review of 2009 Grant Applications received to date. Council is requested to review and
make notes in regards to the CD provided.


3. Review of budgeted Revenues and Expenditures to date and Capital available.

4. Manager of Financial Services to review capital availability in 2009 and expectations for
2010 and beyond relative to present economic conditions.

5. Direction from Council to Manager of Financial Services in regards to preparation of
final budget document.


Meetings will be held in the Council Chambers, 315 George St, Wiarton.
